Job Summary
As the Business Development and Administrative Coordinator, you will hold a pivotal position reporting directly to the CEO. Your primary responsibility is to provide essential support to the CEO in expanding our business opportunities, enhancing client engagement, monitoring communications, and driving growth. Integral to this role will be managing the CEO's calendar, coordinating meetings and events, and conducting research and preparing materials for proposals and presentations. Reporting directly to the CEO, this role provides an exciting opportunity within a dynamic environment. Your work will be vital to achieving our strategic objectives and overall success, with the opportunity of direct mentorship from the CEO.
This is a hybrid position; while there is flexibility as required, you will be expected to work with the CEO in Innovate By Day’s Toronto office for 1-2 days per week (Monday-Friday). Based on business requirements, contractors permitted to work remotely will be expected to attend in-person company events and essential collaborative activities, such as brainstorming sessions, workshops, or business development activities, as required by their supervisor or outlined in the corporate calendar. Innovate By Day office hours are 9:30 am - 5:30 pm in the Eastern time zone (ET).
What You’ll Do:
Business Development Support (~45%): Proactively assist in competitive and organizational research and preparation of presentations, proposals, and other materials for business development meetings and pitches.
- Materials for Business Development Support: Draft, edit, and proofread emails for reach-outs and follow-ups in support of the CEO. Provide support for creating decks, proposals, and presentations for the CEO as needed.
- Networking Pre-Research and Post Follow-Up: Actively research potential leads at networking events and follow up after networking events, conferences, and meetings to foster relationships and explore business opportunities for the CEO and team. Maintain up-to-date contact profiles in our systems.
- CRM and Pipeline Management: Manage the CRM pipeline by accurately documenting new information, tracking lead phases, and creating new deal cards and creating new deal cards when there are new lead opportunities. Lead team members through Business Development Meetings to provide status updates and gather insights.
- Meeting Preparation/Contact Research: Research relevant intel on contacts and key people prior to the CEO's meetings, focusing on industry scans and social media tracking to inform opportunities, understand client needs, and maintain up-to-date knowledge of client developments and target industries.
Executive and Assorted Administrative Duties (~15%):
- Administrative Duties: Track and log the CEO's working hours for timesheet purposes, and provide reminders for key scheduled calls. Assist in maintaining an organized file-naming system and supporting overarching digital organization.
- Calendar Management: Help maintain the CEO's calendar, schedule appointments, travel, and coordinate meetings, ensuring efficient time use and prioritizing key activities (e.g., scheduling internal meetings, shifting one-on-ones, and company meetings). Managing and resolving scheduling conflicts related to the CEO's appointments, as well as developing travel itineraries when required.
- Office Tasks: Manage office operations, including tracking who will be in the office; collect mail; track expenses; mail packages and letters; and perform other minor office management tasks, such as setting up spaces in the building for meetings and events.
Internal Research and Projects (~20%): Research will include a broad range of activities related to internal projects.
- Research: Conduct research on tools or software, including, but not limited to AI tools, and training opportunities for the team.
- Internal Project Coordination and Communications: Collaborate with internal teams to support cross-functional projects and initiatives, ensuring alignment with the CEO's goals and objectives (including case study creation, special internal projects, etc.)
- Process Planning and Workflow Improvements: Collaborate with the CEO and Associate Director of Operations & Marketing to enhance existing processes. Conduct research to inform process development and/or assist with strategizing and creating new processes entirely. Creation of process flow documentation and templating resources that would be helpful to the team.
UX/UI Design and Support (~20%): For both Innovate By Day and our clients. This includes the design and creation of internal web pages, ideation and contribution to web team projects on an as-needed basis.

Innovate By Day is seeking a well-rounded, outgoing professional to fill the role of Bilingual (French/English) Video Editor experienced in creating dynamic, engaging video content to start immediately.
We’re a diverse, values-led, and fun creative team that works closely on a wide range of projects with a broad cross section of clients largely in the cultural industries.
As a Bilingual Video Editor at Innovate By Day, you will work with the Innovate by Day video team to produce professional quality video and audio for various client and internal projects under the supervision of, and reporting to, the Associate Director of Content & Video Production. You will also work closely with different departments as each project dictates.
In the role of Editor, you will be expected to perform the following tasks at a professional level of creative and technical quality as commonly accepted in the film, television and digital media industry, as required.
Key Responsibilities
- Assemble and edit both fiction and non-fiction videos of various lengths as directed;
- Assemble and edit audio segments of various lengths as required;
- Basic colour correcting;
- Basic sound mixing;
- Creating SRT files, transcriptions, subtitles, translations to French, and other accessibility assets in French;
- Exporting videos in a variety of formats according to the delivery requirements;
- Maintain backups of both projects and original footage;
- Ingest footage in a variety of formats with particular attention to project organization and backups;
Other tasks and duties will be assigned as required.
Qualifications
- Fluent in Canadian French and English
- 3+ years of experience with Final Cut Pro
- Minimum 3 years of relevant video editing experience
- Experience preparing, logging and editing footage in Final Cut Pro
- Motion 5 & After Effects Experience is a plus
- Experience in videography and other production experience an asset
- Exceptional attention to detail for logging & assigning roles to footage
- Additional Production or Post-Production skills are an asset
- Post production coordination or project management experience are an asset
- Robust and proactive communication and interpersonal skills are a must
